About the Role

As a Ferry Operations Administrative Specialist, you'll play a critical role in the day-to-day functioning of ferry services. This position goes far beyond traditional office work—it's about managing the behind-the-scenes coordination that allows ferries to run efficiently, safely, and on schedule. If you're detail-oriented, comfortable with financial and data systems, and enjoy balancing administrative duties with public interaction, we want to hear from you.

Key Responsibilities

Operational & Administrative Support 

  • Assist the District Superintendent with all personnel and administrative management tasks.
  • Compile and process bi-weekly payroll data, ensuring accuracy of timekeeping records.
  • Maintain and report vessel traffic and scheduling data.
  • Track expenditures and process receipts using tools like SAP, BSIP, and DocuSign.
  • Monitor toll collections, reconcile financial reports, and maintain statistical data.
  • Serve as an Alternate Facility Security Officer (FSO) as mandated by the USCG/Homeland Security.
  • Operate and maintain office equipment efficiently.

Public-Facing Duties 

  • Interact with the traveling public—helping process tickets, address inquiries, and support ferry passengers.
  • Screen and direct communications following established procedures.

Workflow Coordination 

  • Maintain organized records and files to ensure seamless office operations and information flow.

What We're Looking For

  • High-volume computer skills, especially in SAP and related administrative systems.
  • Proven ability to work independently within established guidelines.
  • Strong attention to detail in compiling reports, balancing figures, and processing financial documents.
  • Exceptional interpersonal skills for engaging with the public and internal teams.
  • General knowledge of office practices, including payroll and expenditure tracking.
  • Experience handling sensitive and secure information is a plus.

This position is located at the Hatteras Operations facilities.   The schedule is Monday through Friday, 7:00 am – 3:30 pm

 

Knowledge, Skills and Abilities / Competencies

Management prefers the following:

  • Knowledge of office or work unit procedures, methods and practices. 

  • General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment. 

  • Demonstrated ability to gather and give information and instructions regarding the work process or procedures. 

  • Demonstrated ability to learn to use specialized office equipment and software programs such as SAP, Microsoft Office Suit, and others.

  • Demonstrated ability to work with people with courtesy and tact. 

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
