The Director of Facilities at Helena College University of Montana is a senior leadership position responsible for the planning operations, safety/security, and maintenance of the college's physical assets and facilities. This position reports directly to the Executive Director of Operations and is critical to ensuring a safe, sustainable, and welcoming facility upholding the institution's mission to provide high-quality educational environment for students, faculty, and staff equally.
The Director oversees and manages all operations of the Facilities & Maintenance (F&M) Department providing: direct leadership, and strategic planning; operational day-to-day management for all maintenance and custodial staff; compliance with safety and regulatory policies; guidance for sustainability and stewardship of physical assets; key leadership in emergency
preparedness and immediate action campus response; respectful, openness style to engage with all college stakeholders; oversight, planning, and execution of annual funds maximizing return on investments.
The Director is the primary POC and contract representative for contracted projects and repair work. The incumbent is responsible for implementing overall F&M engagement, service delivery, and support strategy that reflects the values of Helena College. Responsible for cultivating and maintaining excellent relationships with our community, including developing an understanding of the needs of the campus community and by obtaining feedback and recalibrating priorities and activities based on such feedback. The Director will also assist in student success through the good operation and cleanliness of the facilities and grounds.
• Direct and manage the day-to-day operations of the F&M Department including
o Direct tasking and supervision, mentoring & coaching technical knowledge, ensure safe personnel operations training & equipping personnel to accomplish repairs, hiring, & performance reviews
• Primary POC & contract representative for:
o all contracted services, construction & repair projects
o capital repairs/improvements awarded by University of Montana and the state's Architecture & Engineering Division
• Develop contracting bid proposals, enforce contracts, & manage all campus work repair & renovation work
• Serve on the following committees:
• Sets and manages expectations, standards, and protocols for problem resolution and escalation. Actively monitors and measures service performance. Maintain accurate inventories of all equipment and assets utilized by the Department.
• Coordinates and collaborates across campus to ensure cohesive, unified adherence to best practices and standards.
• Plans, analyzes, directs and participates in facility service activities including plumbing, carpentry, HVAC system, snow removal, locksmith, painting, preventative maintenance, custodial services and electrical.
• Prepares and monitors department budget. Manages capital project accounting and appropriate record keeping for the Department.
• Prepares comprehensive reports on facilities-related issues including planning problems and appropriate recommendations.
• Monitors, manages work orders & provides regular reporting to senior leadership.
• Selects, assigns, trains, and evaluates department personnel. Reviews and evaluates program performance.
• Promotes public understanding of the long-range building planning process and associated policies and procedures through presentations to public, representative and community groups.
• Manages the campus master planning activities, regular building inspections, & capital construction projects.
• Ensures compliance with all facilities-related federal, state, Board of Regents and College laws, regulations, policies and procedures. Also maintains material safety data sheets for the Department.
• Responds to and resolves difficult and sensitive inquiries, complaints and requests for services from the public and college community.
• Actively participates as a member of the Safety Committee to develop policies and procedures for responding to a variety of crisis situations.

• Diligently develops close teamwork among all F&M staff; create and maintain a work atmosphere of trust and respect with all team members; work with a variety of diverse groups of individuals effectively
• Coordinate work schedules, and maintain positive working relationships
• Communicate effectively with the campus community, colleagues, management, and the general public
• The Director will collaborate closely with the Executive Director of Operations in all matters of facility needs of the College.
• Ability to interact with faculty, staff, students, and the general public on a daily basis, and confer regularly with Helena College administration and occasionally will be involved at the University of Montana (UM) and Montana University System (MUS) level to accomplish the work assigned.
• The Director will represent the Department and the College in a variety of settings, and will work in conjunction with the Executive Director of Operations to make operational decisions related to the major responsibilities of the position.
Management and Supervision
The Director of F&M supervises ~ six direct reports: three maintenance technicians & three custodial staff across two separate campus locations to provide 7x24x365 maintenance coverage. This requires managing all personnel actions to: retain, recruit, manage performance reviews, & ensure the college has a robust team of professionals. Moreover, this position is responsible for ensuring all safety precautions are followed by F&M staff at all times.
education and/or experience;
• Demonstrated experience effectively leading a complex organization which includes personnel management; budget and financial planning; and implementing principles and practices of facilities management and organizational planning.
• Working knowledge of the maintenance requirements for campus infrastructure including but not limited to:
o Building envelope integrity; landscape management; hardscape and roadways; storm water management; plumbing systems; HVAC&R systems; electrical distribution systems; temperature controls and building management systems; and life safety technology.
o In the facilities and maintenance field including progressive supervisory responsibility;
o Direct management of capital projects, major maintenance repair, & building inspections;
o Facilities break/fix & preventative maintenance planning, & long-range building planning;
o Construction management processes and procedures, including developing cost estimates, budgeting, & Montana bid process;
• Knowledge of laws and ordinances regulating building construction
and remodeling including, but not limited to:
o the Uniform Building Code;
o Professional trades electrical, plumbing, & mechanical code;
o Montana Code Annotated, and
o Related laws/Regulations promoting life safety in public buildings e.g. Americans with Disability Act;
• Knowledge of and experience with state and local safety, fire, construction, & public access regulations;
• Experience using a Computerized Maintenance Management System (CMMS)
• Demonstrated working knowledge of capital project planning, development and execution, and the ability to participate effectively in those processes.
• Demonstrated experience establishing and maintaining productive relationships with a full range of campus and external constituents that reflects a strong customer service commitment.
• Ability to communicate effectively, verbally and in writing, with a diverse group of stakeholders including faculty, staff, students, contractors, and other governmental or community entities.
• An equivalent combination of education and experience will be considered;
• Requires desire to be visible member of campus with frequent employee, student, and community contact and attendance at events.
• Facilities management experience in a governmental, college or university environment.
• Experience managing in a union environment.
• Experience working with state and local government agencies.
• Master's degree in a relevant field.
• Experience with emergency management and business continuity.
• APPA Certified Educational Professional (CEFP) Certification.
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Saturday varied, 8:00 am to 5:00 pm schedule. Hours and schedule may vary depending on the needs of the program. This Position will work effectively at both our Donaldson (1115 North Roberts Street, Helena, MT) and Airport (2300 Airport Road, Helena, MT) campuses.
