Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the Chief Technology Officer (CTO) at AutoRABIT. This role requires someone who thrives in a fast-paced, remote environment and is comfortable managing logistics, schedules, and priorities across a dynamic technology organization. The Executive Assistant will be responsible for coordinating meetings, managing travel arrangements, handling expense reports, and serving as a key operational partner to the CTO.
This role is ideal for someone who is detail-oriented, communicative, and enjoys enabling leadership to focus on strategic initiatives. The right candidate will have a knack for staying two steps ahead, balancing flexibility with reliability.
Key Responsibilities
Administrative Coordination
  • Manage complex calendars, prioritize meeting requests, and book internal and external appointments
  • Coordinate travel arrangements including flights, accommodations, and local transportation
  • Prepare, submit, and track expense reports on behalf of the CTO
Communication & Scheduling
  • Serve as a liaison between the CTO and internal/external stakeholders
  • Ensure timely responses and follow-up on key action items
  • Schedule and coordinate leadership, team, and cross-functional meetings
Support for CTO Initiatives
  • Support operational workflows related to product, engineering, and strategic planning
  • Help document follow-ups and decisions in recurring team syncs
  • Track key dates, milestones, and deliverables relevant to CTO's portfolio
Qualifications
  • Proven experience as an Executive Assistant, Administrative Coordinator, or similar role
  • Proficiency with Google Workspace or Microsoft 365 (Calendar, Docs, Excel, Slides)
  • Comfortable with Slack, Zoom, and modern remote work tools
  • Excellent organizational and time management skills
  • Strong written and verbal communication
  • High discretion and ability to manage confidential information
  • Self-starter mindset with strong attention to detail
  • Must adhere to internal set controls

Nice to Have
  • Experience supporting executive leaders in a technology or SaaS environment
  • Familiarity with Jira, Confluence, or other project management tools

This job is 100% remote. Must be eligible to work in the USA to qualify for this role.
