Summary
Provides research, analysis, and support for pre-award planning, organization and preparation along with post-award administration of various grants for the college. Works collaboratively with executives and staff to ensure compliance with regulatory, funding agencies, and policy requirements. Provides guidance and support in the identification, development, and implementation of grant opportunities that align with the District’s mission, vision, and strategic plan.
Distinguishing Career Features
The Grants Coordinator is a professional contributor requiring the ability to source, develop, propose, and maintain budgetary obligations related to the funding sources for on-going programs and secure commitments meeting institutional priorities. The Grants Coordinator demonstrates the ability to research, analyze, may assist in the preparation of proposals and assist in the implementation, and reporting for grant monies for identified programs.
Essential Duties and Responsibilities
Specific duties may vary among departments, divisions and jobs. Incumbents typically perform a substantial portion or all of the following kinds of duties, as assigned:
- Coordinates the planning and preparation of grant proposals for one or more departments; provides guidance and assistance to administrators, managers, and staff in the interpretation of funding agency regulations and requirements.
- Serves as a liaison between college personnel and granting agencies in the budgeting and preparation of grant proposals; researches agency requirements and compiles and prepares comprehensive budget justifications.
- Coordinates and assists in the design, preparation and submission of project deliverables related to assigned grants, as appropriate.
- Works closely and collaborates with college personnel and state-wide partnerships to ensure up-to-date information, trends, rules, regulations, policies and procedures related to grant writing, evaluation, and submission are communicated; coordinates meetings with identified individuals, departments and agencies, as needed. Maintains and updates all meeting documentation according to procedure.
- Maintains information in the various grants databases and systems for recording and tracking grant proposals, awards, and related statistical information; creates and distributes standard and special presentations, reports, studies, summaries, and analyses.
- Researches new funding opportunities available through local, state and federal government agencies. Develops and maintains various communications and informational resource materials related to grant programs and available grant resources.
- Provides information about proposal development strategies, policies and procedures related to grants, grant terminology, grant management and other grant writing and development.
- Sets up monitoring and information flow for up-to-date reporting of grant program and budget performance.
- Monitors and coordinates the administration of post-award grants to ensure that budgeting and administrative policies, procedures, and agency requirements are being followed; manages administrative problems and/or budget changes occurring during the
awarded grating period. - Maintains currency of knowledge of grant funding policies, regulations, and procedures, disseminates and/or presents changes to departments and advises on the implementation of changes and on the impact of changes on funded operations.
- Assists with grant analytics through development and maintenance of a network of contacts with funding agency officials and collaborating organizations.
- Provides information about proposal development strategies, policies and procedures related to grants, grant terminology, and other grant writing and development.
- Assists with the review of grant proposals prepared by departments for clarity, succinctness, conformity with funding program priorities, and for compliance with the policies and outcomes required by issuing government and private entities.
- Maintains and updates information for up-to-date reporting of grant program and budget performance.
- Works closely with administrators, managers, and staff in monitoring grant activity, preparing compliance reports, and submitting claims for reimbursement.
- Maintains necessary records, files, reports, databases, and resource materials pertinent to grants office activities.
- Develops formats for regular communications to grantors offering up-to-date information and status.
- May assist with oversight of staff within the assigned department/division or within another department for grant reporting, budget compliance, and outcomes.
- Maintains up-to-date knowledge and awareness of grant opportunities and trends.
- Performs other related duties as assigned that support the objective of the position.
- Required to abide by all District policies and procedures including Board Policy 3050 – Code of Professional Ethics.
Qualifications and Physical Demands
Knowledge and Skills
- The position requires specialized knowledge of managerial accounting to conduct financial and value-added analyses of cost proposal, cost-benefit and risk-return studies, and systems for monitoring budgeted funds flows.
- Requires knowledge of philanthropic, civic, federal, state, local, and other governmental forms of grant opportunities.
- Requires knowledge of grant opportunities for education.
- Requires knowledge of regulations and procedures for grant seeking, funding, and administration in the public sector.
- Requires well-developed knowledge of and skill at using computerized applications such as those for office productivity, fundamental and web-based research.
- Requires advanced knowledge of and skill at oral and written English to prepare professional correspondence, presentations, and compelling grant proposals.
- Requires well-developed human relations skills to be persuasive in introductions and presentations to outside individuals and groups.

- Requires the ability demonstrate sound judgement and creativity in the application and interpretation of grant provisions, grantor requirements, rules and regulations.
- Requires the ability to write in a professional manner, proofread and edit accurately, and compile presentation-quality reports.
- Requires the ability to work independently with minimal supervision; utilizing critical thinking and problem solving skills.
- Requires the ability to organize workloads and meet deadlines.
- Requires the ability to research, write, and edit materials for grants.
- Must be able to provide direction to others and to organize and manage multiple projects.
- Requires the ability to work cooperatively and productively with others.

- The general physical demands, working conditions, and essential job functions associated with this classification will be kept on file with the Office of Human Resources.

Minimum Qualifications: Education, Experience, D.E.I.A
This position requires a Bachelor’s degree in business administration, accounting, or related field and two years of experience in career education programs and services, and two years’ experience directly related to grant programs and/or services. Or, any combination of education and experience which would provide the required equivalent qualifications for this position.

Demonstrated evidence of responsiveness to and understanding of the racial, ethnic, disability, gender identity, sexual orientation, socioeconomic, academic, and cultural diversity within the community college student population, including students with different ability statuses (e.g., physical and/or learning) as these factors relate to the need for equity-minded practice within the classroom and campus.

Work is performed indoors where minimal safety considerations exist.
Conditions of Employment
This is an IN-HOUSE ONLY, regular, full-time, 12 month per year classified position. The normal hours of work are 8:00 a.m. to 5:00 p.m., Monday through Friday. Hours will vary and may include nights and/or weekends in order to meet the needs of the department. The effective date of employment will be arranged with the supervisor.
