About Pueblo Regional Center: The work unit supports the agency in providing services to Individuals with Intellectual Disabilities in a HCBS Waiver facility in compliance with state and federal rules and regulations. The agency consists of 9 group homes/facilities for Individuals with Intellectual Disabilities and provides comprehensive, integrated and coordinated services for up to 72 individuals. These services are provided in compliance with State and Federal Standards to maintain Medicaid funding to support the health and welfare of individuals served by this agency.

This position exists to support acquisition, retention or improvement in self-help, socialization and adaptive skills that take place in a non-residential setting.  Activities and environments are designed to foster the acquisition of skills, appropriate behavior, greater independence, and personal choice. This work unit provides behavioral, social, and vocational training services for individuals with developmental disabilities for the purpose of assisting to attain the highest level of independence, with the purpose of Community Integrated Employment (CIE) ,Specialized Habilitation and Supportive Community Integration. This position is responsible for supporting each individual in their specific goals in order to obtain life skills.

Description of Job

Pueblo Regional Center

This work unit exists to provide support to the Residential Services for Pueblo Regional Center and overall administration for both internal and external programs and activities.  Pueblo Regional Center (PRC) is one of three state-operated Regional Centers providing services to Individuals with Intellectual Disabilities in a HCBS Waiver facility in compliance with state and federal rules and regulations.  The agency consists of 9 group homes/facilities for Individuals with Intellectual Disabilities and provides comprehensive, integrated and coordinated services for up to 72 individuals.  These services are provided in compliance with State and Federal Standards to maintain Medicaid funding to support the health, welfare and active treatment of individuals served by this agency.


Summary of the Positions: 
This position provides administrative, logistical and professional support to the Residential Services area to include the Program Services Director, Community Integration Director and Director of Nursing. Additionally, this position supports in day-to-day operations including verbal and written communication and correspondence, scheduling and maintaining their calendar, meeting agendas and minutes, organizing, tracking and finalizing routine and reports, and monitoring/tracking regulatory compliance initiatives. This position also serves as a point of contact and support for a wide range of internal and external customers and CDHS staff.

Job Duties

Residential Services Support.  
  • This position is assigned to the Residential Services Directors to include, the Program Services Director, Community Integration Director and Director of Nursing.
  • Manages Program Services Director, Community Integration Director and Director of Nursing calendar.
  • Schedules meetings, arranges meeting rooms and appropriate materials, takes and distributes meeting minutes.
  • Manages projects and compiles final product for review and approval.
  • Collects information to create and maintain an up-to-date shared Google Sheet tracker for all residential services’ FMLA, QAPI, vacations, nursing schedules and call offs.
  • Utilizes Google Docs and Google Sheets for developing memos, letters, forms, tables and graphs as needed for residential services.
Office Management/Administrative.  
  • Position is responsible for answering the PRC main line and direct calls to the appropriate staff.   
  • Provides technical guidance to internal/external stakeholders and CDHS staff.
  • Creates, revises, and implements internal procedures related to workflow, coverage, correspondence, and timeliness.
  • Conduct quarterly checks of internal procedures to ensure effective and efficient systems are in place.
  • Tracks incoming requests for Residential Services approval including developing and managing submittal procedures.
  • Prepares meeting agendas and records meeting minutes for the Residential Coordinator meetings, Day Program Meetings and Nursing Meetings.
  • Creates and sends out communication correspondence/fliers for Community Integration events.
  • Purchasing Day Program supplies as requested using the department’s procurement card.
  • Monthly allocation for individual p-card to include:
    • collecting receipts and completing p-card receiving reports 
    • reconciles each receiving report accounting string into the US Bank
    • monitors monthly balance to ensure spending does not exceed authorized limit
    • run end of month reports for cardholder and approving official signature
    • submits Journal Voucher (JV) for any coding that is incorrect to Southern Accounts Payable Office for correction.
Other Duties as Assigned.  
  • Position will travel between remote work sites.
  • This position performs other duties as assigned

Experience Only:

Four (4) years of relevant experience in an occupation related to the work assigned to this position

Or

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years


Preferred Qualifications:

  • Ability to multi-task various priorities
  • Advanced proficiency in Google Suite  (i.e. Word, Excel, Access and PowerPoint)
  • Ability to interpret complex rules, regulations, policies, procedures and guidelines
  • Experience working with confidential information
  • Experience tracking and managing a budget
  • Experience ordering supplies, reconciling purchases through receiving reports and procurement card systems.
  • Experience making travel arrangements and completing reimbursement for travelers.
  • Experience utilizing Therap or other Electronic Health Record systems.
  • Good work history
  • Relevant years of State service experience

Conditions of Employment

  • Full Background - CDHS employees (all Direct contact with vulnerable persons): CBI name check and fingerprint check, ICON Colorado court database, Medicare fraud database, Reference Checks, Professional License verification (licensure requirements), Drug Screen, PREA (Division of Youth Services), Trails check (direct contact with children), CAPS (direct contact with adults – Mental Health Institutes, Regional Centers, Veterans Community Living Centers). 
  • Travel is required for meetings, visiting other regional centers and training. 
  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must:
    • Disclose that information on the application.

    • Explain why the prior termination or resignation should not disqualify you from the current position.

    • Provide your employee number from your prior State employment.  Absent extraordinary circumstances, prior disciplinary termination or resignation in lieu of termination and failure to provide this information will disqualify the applicant from future State employment with CDHS.
