Administrative Assistant, Membership & Industry Relations

Location: Remote – United States
Pay Range: $21.05 – $22.73 per hour
Who We’re Looking For
The Administrative Assistant, Membership & Industry Relations supports both the Managing Director of Member Outreach & Systems and the Managing Director of GRAMMY U. This role plays a key part in maintaining an extensive member and artist relations database, enhancing the GRAMMY U membership experience, and providing administrative support across the Membership and Outreach teams.
What You’ll Do
GRAMMY U Support

Maintain GRAMMY U application queue and deliver top-tier customer service to members

Collaborate with the Membership & Operations Manager and GRAMMY U teams to meet national goals

Coordinate and attend strategy meetings with GRAMMY U Representatives

Develop membership presentations, orientation materials, and training documents

Manage GRAMMY U LinkedIn and Discord member approvals

Track membership data and compile program statistics for reporting and presentations

Assist with mentorship programs, national programming, and social media committee efforts
Membership Accounts Support

Serve as a secondary contact for general membership inquiries and voicemails

Assist with account database management and troubleshooting alongside technical teams

Help verify credentials for new and renewing members

Conduct research and maintain organized member and outreach databases

Support development of internal and external membership strategies and presentations

Coordinate RSVP platforms, registration systems, and guest lists for events
-
Assist with contracts, speaker agreements, and logistics for festival and conference activations
Shared Administrative Duties

Provide direct administrative support to both Managing Directors

Manage scheduling, travel arrangements, calendar maintenance, expense reports, and other administrative functions
Skills & Experience
Required:
-
Bachelor's degree preferred (Information Systems, Business Administration, or related field)

Minimum 2 years of executive-level administrative experience
-
Experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Experience handling confidential and sensitive data with discretion

Strong communication and customer service skills

Ability to multitask and manage projects independently in a fast-paced environment
Preferred:
-
Experience in Salesforce or other CRM platforms

Background in nonprofit or membership organizations

Experience with Microsoft database products
-
Prior work in the music, entertainment, or creative industries is a plus
Physical Requirements

Must be able to sit and work at a computer for extended periods

Occasionally required to stand, walk, kneel, or lift up to 60 pounds
