Position Summary

The Executive Assistant – Level 1 provides high-level administrative support to executives or senior leadership. This role requires discretion, initiative, and professionalism in handling a variety of tasks, often involving confidential information. It is ideal for someone who thrives in a fast-paced, client-focused environment and is passionate about delivering exceptional service.


Key Responsibilities

People

  • Serve as a professional extension of the Principal, building strong relationships with colleagues and clients.
  • Maintain communication on behalf of Principal while they are traveling.
  • Support other Executive Assistants as needed and provide guidance to less experienced team members.
  • Maintain a positive, solution-oriented attitude.

Client

  • Prepare reports, meeting minutes, and correspondence.
  • Create/edit documents, spreadsheets, and presentations.
  • Manage executive calendars, appointments, and complex travel itineraries.
  • Coordinate and follow-up on meetings to ensure optimal time management.
  • Organize and prioritize multiple projects under tight deadlines.
  • Answer and transfer phone calls; take accurate messages.
  • Organize and maintain electronic and paper files.
  • Manage incoming and outgoing correspondence.
  • Route client documentation to appropriate team members based on deadlines.
  • Support general administrative tasks as directed by the Partner-in-Charge (PIC).

  • Maintain knowledge of internal policies and procedures.
  • Assist in identifying and improving internal processes.
  • Edit and review client documentation.
  • Support additional projects and duties as assigned.
  • Work independently and complete tasks with minimal supervision.

Qualifications

Education & Experience

  • High School diploma required.
  • 3+ years of experience in an administrative or executive assistant role.
  • Strong grammar, proofreading, and written communication skills.
  • Experience handling complex and confidential interactions.

Technical Skills

  • Advanced proficiency in:
    • Microsoft Word | Excel | PowerPoint | Access | Outlook
    • Internet research and navigation

Licenses & Certifications

  • Valid Driver’s License required.
  • Notary Public preferred.

Work Environment

  • Remote, standard indoor work setting.
  • Long periods of sitting; occasional standing.
  • Regular interaction via phone, email, and video.
  • Requires reliable internet and a quiet home office setup.

Compensation (U.S. Based Roles)

Salary varies by location and experience:

  • California: $30.05–$43.10/hour
  • Colorado: $28.73–$37.82/hour
  • Illinois: $28.73–$39.53/hour
  • New York (NYC): $32.69–$43.10/hour
  • Other NY locations: $27.28–$35.96/hour
  • Washington: $30.05–$39.53/hour

Some roles may be eligible for incentive compensation.
