JOB SUMMARY


The Program Assistant is an integral member of the Community Partnerships & Programs team, supporting a wide range of initiatives throughout central, northern, and western Wisconsin. Under the direction of the Director of Grants and Community Engagement, this role works closely with both internal colleagues and external stakeholders to assist with the planning, coordination, implementation, and evaluation of events, trainings, and educational activities. The Program Assistant contributes to the success of community-focused projects including programming related to substance use by helping to ensure they are effectively organized, executed, and aligned with organizational goals.

 

ESSENTIAL JOB FUNCTIONS

  1. Assists project leads in the development and implementation of programs that address specific health care-related concerns to ensure alignment with program goals and requirements.
  2. Maintains accurate and up-to-date project records to support effective tracking, reporting, and evaluation.
  3. Prepares and distributes communications - including meeting minutes and related materials - to enhance both internal and external collaboration.
  4. Attends internal and external meetings to support program objectives and ensure deliverables are met.
  5. Participates in program activities and team meetings by providing logistical assistance and coordinating supplies for events, trainings, and meetings.
  6. Assists in developing and designing educational materials, articles, and other program-related content to raise awareness and inform stakeholders, with guidance from program leads.
  7. Creates and manages surveys, registration forms, and other tools to gather feedback and monitor program metrics.
  8. Maintains positive relationships with internal and external stakeholders to promote public awareness and support for assigned initiatives.
  9. Maintains regular and reliable attendance to effectively fulfill the essential functions of the position.
  10. Meets ongoing competency requirements to sustain the skills, knowledge, and abilities necessary for the role’s responsibilities.
  11. Perform other duties as assigned.

 

EDUCATION AND EXPERIENCE

  1. Associate degree in graphic design, communications, health education, public health, health promotion, or a related field.

 

CERTIFICATIONS / LICENSES

  1. Valid Wisconsin Driver’s License required with an acceptable motor vehicle record (MVR), per FHC guidelines.
